For operators who want a clear, repeatable appointment workflow. It begins before the technician drives and ends after the specimen and the administrative work are both closed out.

Lesson 16 of 30

The nine stages

A professional mobile appointment begins before the technician drives and ends after the specimen and the administrative work are closed out. Everything in between should happen the same way every time.

01

Receive and review the request

Confirm the patient, ordering information, requested tests, location, receiving laboratory and any specialty instructions before accepting the appointment.

02

Verify requirements

Confirm tube, handling, processing, timing, temperature, fasting or other laboratory-specific requirements when relevant. The receiving lab decides these, not habit.

03

Schedule intelligently

Consider patient availability, geography, traffic, lab drop-off hours, specimen stability and your other appointments. A perfectly collected specimen that misses drop-off is still a failure.

04

Confirm the appointment

Send a clear time window, preparation instructions, location, payment information and contact method. Most no-shows are confirmation failures, not patient failures.

05

Prepare the field kit

Use a checklist matched to the specific appointment rather than relying on memory. Specialty kits are where memory fails most expensively.

06

Arrive and identify

Introduce yourself, verify the patient using the required identifiers, review the order and create a safe work area before anything comes out of the bag.

07

Collect and label

Follow accepted clinical technique and label according to the receiving laboratory and applicable policies, including point-of-collection labeling where it is required.

08

Handle and transport

Protect specimen integrity according to the test and laboratory requirements and applicable transport rules. Covered in full in Lesson 18.

09

Close the appointment

Update status, account for supplies and sharps, document delivery and completion, and communicate exceptions through the defined channel. The appointment is not over when you drive away.

Pre-departure checklist

Use this before leaving for each appointment. Add laboratory-specific requirements where they apply.

Nothing here is saved between visits — this is a working checklist, not a record.

Common mistakes

Each of these turns a completed draw into a recollection.

  • Leaving before verifying the order
  • Relying on memory for specialty supplies
  • Labeling away from the patient when policy requires point-of-collection labeling
  • Ignoring lab drop-off hours
  • Failing to close out exceptions

Where XpediPro fits

A single appointment can contain fifteen to twenty operational steps. XpediPro centralizes the administrative workflow so fewer critical details depend on text threads, separate calendars or memory — which is where they get lost.

FAQs

Should every appointment use the exact same process?

The core workflow should be standardized, but specimen-specific requirements and patient circumstances will require defined exceptions. Standardize the spine; document the exceptions.

Who determines specimen requirements?

Use the receiving laboratory and test instructions along with qualified operational guidance, rather than a generic rule applied to every tube.
